BD Events Specialist

Location: New York City, NY

Develop and support a wide array of events, ranging from substantive events and seminars to client entertainment, partnership retreats and internal events. Collaborate with NY partnership,   Business Development, and Legal Recruiting Departments.

Primary Responsibilities and/or Essential functions:  
  • Work closely with attorneys and administrators to plan and execute group client entertainment events across an array of venues, as well as provide support for Firm-wide retreats and other events as needed
  • Assist with pre-event administrative duties, including invitation mailing, coordinating RSVP lists, name badges, and materials distribution
  • Organize post-event details, including vendor payment and attendee follow-up.
  • Plan ad-hoc day meetings, cocktail receptions, client dinners, golf sponsorships and theater/concert events
  • Liaise with Professional Development department for all Continuing Legal Education client seminars and training workshops
  • Coordinate with business development, specifically the CRM team and InterAction software,  to ensure client and guest lists are accurate and up to date
  • Identify areas for successful future programs, memorable event ideas and speakers
  • Keep abreast of marketplace to bring an innovative approach to events
  • Identify and implement efficient processes to streamline administrative tasks (online registration forms, databases, etc.)
  • Work in conjunction with various departments to accomplish tasks (i.e., Facilities, Conference Center, etc.)
  • Manage vendor relationships
  • Provide support for business development events on an as-needed basis

Knowledge, Skills & Abilities
  • Minimum 5 years event planning experience at a corporate or professional services firm. 
  • Must possess positive attitude, demeanor, executive presence and the ability to work well with partners, associates and staff.
  • Independent worker who also works well in a team
  • Excellent interpersonal skills paired with exceptional communication and written skills.
  • Self-motivated person with excellent time management skills and project management experience
  • Proficient in Microsoft Office Suite and databases.
  • Exhibits thoughtful and sound judgment in problem solving and relationship management.

Bachelors degree in marketing or related areas or equivalent education and experience required.
