Senior Secretarial Supervisor

Primary responsibilities include monitoring Secretarial assignments and workflow, fostering teamwork, recruitment, orientation and performance management.  The Senior Secretarial Supervisor will be expected to build relationships with the Firm’s Partners and Associates and possess an understanding of their support requirements.

Primary Responsibilities and/or Essential functions:  
  • Supervises Legal Secretaries and promotes teamwork, productivity and excellence among staff. 
  • Acts as a liaison between Attorneys and Secretaries. 
  • Oversees the Performance Evaluation process, meets with Secretaries on a regular basis and provides coaching and counseling as appropriate. 
  • Reviews weekly time reports and overtime and approves PTO requests. 
  • Possesses full knowledge of Firm policies and implements them in a consistent manner. 
  • Collaborates with other members of the management team to recommend changes to business processes and to implement innovative solutions. 
  • Represents the department at Firm presentations and events.

  • Possesses knowledge of assignments, Attorney workload and preferences. 
  • Assigns Secretaries to Attorneys, monitors the efficiency of assignments and adjusts assignments to ensure a fair distribution of work.
  • Utilizes the Secretarial scheduling application to track all assignment-related information. 
  • Oversees the recruitment, hiring and orientation of new Secretaries. 
  • Schedules Secretaries on an overtime basis for closings, filings and special projects.

Professional Development:  
  • Coordinates orientation and training for new Secretaries. 
  • Recommends new training programs and ongoing training for Secretaries based on attorney needs and direct observation. 
  • Monitors Secretaries’ participation in Firm training and assists them to earn a minimum of 10 training credits per year.

Knowledge, Skills & Abilities:
  • A minimum of 10 years of supervisory experience in the legal or corporate environment.
  • Provides a high level of customer service; professional in all interactions.
  • Excellent interpersonal skills; ability to build strong relationships with Secretaries and attorneys.
  • Demonstrated ability to build strong teams and to foster ongoing teamwork.
  • Possesses excellent oral and written communication skills.
  • Demonstrates initiative and adapts to change; ability to exercise sound judgment and work independently.
  • Adept at problem resolution; ability to remain calm in high-pressure situations.
  • Possesses strong administrative and organizational skills; ability to prioritize tasks and juggle multiple priorities.
  • Demonstrated expertise with Microsoft desktop applications; experience with Workday a plus.

  • High School Diploma required.
  • Bachelor’s Degree strongly preferred.
